Iceland On Image
Photography, Videography & Styling Terms and Conditions
Last Updated: October 2026
Iceland On Image is operated by Studio-fræ ehf., a company registered in Iceland, and provides photography experiences in Iceland on pre-booked dates. These Terms and Conditions apply to photography packages booked through Iceland On Image, including photography, videography, hair and makeup styling, and related combined services.
The specific services, dates, personnel, prices, and deliverables shall be determined by the confirmed booking. Unless expressly included in the booking, service fees do not cover the Client’s transportation, accommodation, meals, or other personal travel expenses. The Client is responsible for arranging transportation to the agreed meeting location.
By accepting these Terms and Conditions and completing the required payment, the Client agrees to the terms governing the confirmed booking.
1. Booking and Payment
1.1 Booking Confirmation
The Client must pay the required deposit or full amount within 24 hours of submitting a booking request. A booking is confirmed only after the Studio has received the required payment and issued confirmation. The Studio will then reserve the agreed date and relevant personnel. If payment is not received within the specified period, the Studio reserves the right to release the reservation.
1.2 Booking Changes
After confirmation, requests for additional services, route changes, extended working hours, or other modifications are subject to availability and may incur additional charges. Such changes must be agreed upon by both parties. Any price difference resulting from changes to the booked services will be settled with the final payment. If the booking has already been paid in full, the difference will be settled separately.
1.3 Final Payment
The outstanding balance must be paid within 24 hours after the photography session. If the Client fails to pay an amount when due, and has no legal entitlement to withhold payment, the Studio may suspend post-production and file delivery until payment is received. Delivery deadlines will be extended accordingly.
1.4 Payment and Exchange Rates
Payments shall be made in the currency and amount specified in the confirmed booking. Any exchange rate differences, bank charges, or payment processing fees arising from credit card payments, bank transfers, or third-party payment platforms shall be subject to the applicable payment provider’s terms.
2. Service Arrangements
2.1 Personnel
The Studio will assign suitably qualified photographers, videographers, makeup artists, and other personnel according to the booking, including independent professionals working in collaboration with the Studio. The Studio may adjust personnel arrangements when necessary and appoint suitably qualified replacements, while informing the Client in a timely manner. Such changes shall not affect the agreed scope of services, service standards, deliverables, or price.
2.2 Artistic Direction
Photography, videography, and post-production are carried out according to the professional judgment of the assigned personnel and the Studio’s established artistic style. The Client may communicate preferences and provide references in advance, which will be considered where reasonably practicable. Actual results may vary depending on weather, lighting, surroundings, and individual appearance or performance.
2.3 Client Cooperation and Responsibility
The Client must arrive at the agreed meeting location on time, complete necessary preparations, and reasonably cooperate with the service arrangements. Delays, insufficient preparation, early termination of the session, last-minute changes, or other circumstances attributable to the Client may result in reduced shooting time, fewer locations or activities, route adjustments, or a final number of photographs below the minimum specified in the booking.
The Studio shall not be liable for any reduction in services, shortfall in photograph numbers, or inability to complete certain activities directly caused by such circumstances. In these cases, the Studio is not obligated to provide complimentary reshoots, extend service hours without charge, or issue refunds for the affected services. Any request for additional shooting time or services must be approved by the Studio and may incur additional charges.
2.4 Route and Location Adjustments
The Studio may reasonably adjust shooting times, locations, routes, or the order of activities due to weather, road conditions, site accessibility, or safety considerations. Where the adjusted arrangements maintain the agreed service duration, personnel, and deliverables, and provide reasonably comparable alternative locations, the booking will generally be considered fulfilled.
If an adjustment involves a route or service with a different price, the Studio will explain the difference in advance and adjust the booking amount upon mutual agreement. Additional charges will be added to the final payment, while reductions will be deducted from it. If the booking has already been paid in full, the difference will be settled separately.
If the booking expressly includes an essential, non-substitutable shooting location or activity that cannot be provided, the parties shall discuss an appropriate adjustment to the services and corresponding fees.
2.5 Third-Party Expenses
Venue reservations, admission tickets, shuttle tickets, and other third-party expenses are the Client’s responsibility unless expressly included in the confirmed booking.
3. Hair and Makeup Styling
3.1 Scope of Services
The Studio provides makeup application, hairstyling, makeup trials, and on-location touch-up services according to the confirmed booking. The scope, timing, location, and fees of such services shall be determined by the booking.
3.2 Consultation and Preparation
The Client should communicate styling preferences, special requirements, and relevant preparation needs to the stylist in advance and follow reasonable instructions regarding skin, hair, and other preparations. If the Client is late, inadequately prepared, or makes last-minute changes, the stylist may adjust the service arrangements accordingly.
3.3 Accessories and Special Styling
The Studio may provide basic accessories and standard styling items from its available inventory. Special accessories, wigs, hair extensions, and other specialised styling requests must be discussed in advance. Additional materials and service fees must be agreed upon beforehand. The stylist may decline special requests that have not been arranged in advance, depending on the circumstances on the day.
3.4 Styling Approval
Upon completion of hair and makeup styling, the Client should inspect the results and promptly request any reasonable adjustments. Once the Client has approved the completed styling, the individual hair and makeup service shall be considered completed.
3.5 Skin Conditions and Allergies
The Client must disclose any known allergies, skin conditions, recent treatments, or other circumstances that may affect the safety of makeup application. The Studio will provide services with reasonable professional care. The stylist may modify or suspend the service if significant discomfort or a safety concern arises.
3.6 Styling Results and Longevity
Styling results depend on individual skin type, hair texture, and facial features. Their longevity may be affected by Icelandic weather, wind, humidity, and the Client’s activities. The Studio will use reasonable styling and setting techniques but cannot guarantee that hair and makeup will remain in their original condition throughout the entire session.
3.7 Touch-Up and Additional Services
A single hair and makeup service ends once the styling has been completed and approved by the Client. Subsequent makeup touch-ups, hairstyle adjustments, and continuous on-location styling assistance constitute additional touch-up services, the scope of which shall be determined by the booking. Additional clients, location changes, or extended service hours require mutual agreement and may incur additional charges.
3.8 Service Interruption
The stylist may suspend services and discuss appropriate arrangements if the Client’s physical condition or the hygiene or safety conditions at the location make it unsuitable to continue. If a service cannot be completed due to circumstances attributable to either party, the matter shall be resolved according to the services actually provided and the respective responsibilities of the parties.
4. Photo and Video Delivery
4.1 Delivery Specifications
The deliverables, quantities, formats, resolutions, and delivery deadlines for photographs and videos shall be determined by the confirmed booking.
4.2 Original JPG Photographs
Original photographs are camera-generated JPG files that have not been individually selected or retouched. The Studio will generally deliver all readable original JPG photographs captured during the session.
Quantities stated in the booking, such as “400+ photographs”, represent the minimum number of photographs to be captured (shutter actuations) under normal completion of the booked service. The actual number of photographs captured and delivered may vary depending on the activities, conditions, and circumstances of the session. The final delivery will reflect the photographs actually captured.
Original photographs may include repeated compositions, out-of-focus images, exposure irregularities, or unflattering expressions and poses.
Original JPG photographs will be delivered at a resolution suitable for social media sharing and everyday viewing on mobile devices. High-resolution, print-quality files are provided only for the retouched photographs specified in the booking. High-resolution, print-quality versions of the original JPG photographs are not included.
4.3 Retouched Photographs and Edited Videos
Retouched photographs and edited videos will be produced according to the confirmed booking. The Studio retains professional discretion over editing style, colour grading, video editing, and music selection. Complex compositing, extensive revisions, or other special post-production requests outside the agreed scope may incur additional charges.
4.4 Excluded Files
RAW photographs, unedited video footage, project files, and other production materials are not included in the standard deliverables.
4.5 Download and Storage
Files will be delivered through an online download link. The Client is responsible for downloading and backing up all delivered files within 30 days of receiving the delivery notification.
The Studio will retain original photo and video materials for one year from the shooting date. The Client must complete photograph selection before the retention period expires and allow reasonable time for post-production. After the retention period, the Studio may delete the relevant files. Extended storage or re-uploading may be arranged separately.
5. Post-Production and Revisions
5.1 Editing Style
The Client may communicate reasonable editing preferences before post-production begins. The Studio will complete post-production in accordance with the confirmed booking and its established artistic style.
5.2 Standard Revisions
The Client should submit all reasonable standard revision requests together within seven days of receiving the final deliverables. The Studio will address revisions that fall within the original scope of services.
Additional revision requests submitted after this period may incur extra charges. Any actual defects in the delivered work or production quality will be assessed and addressed according to the circumstances.
6. Copyright and Use of Work
6.1 Copyright Ownership
Copyright in photographs and videos remains with the respective creators or other lawful rights holders. Purchasing the services does not constitute a transfer of copyright.
6.2 Client Usage Rights
The Client may use the delivered photographs and videos for personal archiving, private sharing, and posting on personal social media accounts. Commercial advertising, brand promotion, commercial publication, and other commercial uses require separate authorisation.
6.3 Studio Portfolio and Promotional Use
The Studio may use photographs and videos depicting identifiable Clients on its official website, social media accounts, portfolios, and promotional materials only after obtaining the Client’s explicit authorisation.
The scope of such authorisation shall be determined by the separate portfolio and promotional use consent confirmed by the Client during booking. The Client may withdraw consent at any time, and the Studio will handle subsequent use and previously published materials in accordance with applicable data protection requirements.
7. Weather and Shooting Adjustments
7.1 Weather Assessment
The Studio will use official weather forecasts and warnings available at 18:00 Icelandic local time on the day before the scheduled session as an important reference. Arrangements may be further adjusted according to updated weather forecasts, road conditions, and safety considerations.
7.2 Yellow Warnings or Lower
Sessions may generally proceed under yellow weather warnings or lower, subject to appropriate adjustments to shooting times, routes, or locations. Such adjustments shall be governed by Section 2.4.
7.3 Orange Warnings or Higher
In the event of an orange weather warning or higher, the Studio will assess the actual risks and prioritise safe and practicable alternatives.
If the session cannot be conducted safely and no reasonable alternative is available, the Studio may cancel the service. Fees attributable to services not provided will generally be refunded. Services already performed and reasonable, non-refundable third-party expenses previously disclosed to the Client may be settled according to the circumstances.
7.4 Rescheduling and Cancellation
Weather-related rescheduling requires mutual agreement and is subject to personnel availability.
If the Studio offers a reasonable alternative consistent with Section 2.4 and the Client declines it for personal preference reasons and chooses to cancel, the cancellation policy in Section 8.2 will generally apply.
7.5 Safety Decisions
Studio personnel may suspend, modify, or terminate any shooting arrangements that present significant safety risks.
8. Cancellation Policy
8.1 Cancellation by the Studio
If the Studio is unable to fulfil a booking due to illness, accidents, or other circumstances, it will make reasonable efforts to provide alternative arrangements.
If no reasonable alternative service can be provided, refunds or other remedies will be determined according to the services not performed.
Weather-related events and force majeure circumstances shall be governed by Sections 7 and 10.
8.2 Cancellation by the Client
If the Client cancels a confirmed booking, refunds of service fees already paid will generally be calculated according to the following schedule:
Notice Before Scheduled Session Refund Percentage
15 days or more 100%
8–14 days 80%
3–7 days 20%
Less than 3 days 0%
The cancellation date and time shall be determined by when the Studio receives the Client’s clear written cancellation notice, based on Icelandic local time.
Reasonable third-party expenses that were disclosed to and approved by the Client, have already been incurred by the Studio, and are non-refundable may be settled separately. No expense shall be deducted more than once.
8.3 Failure to Attend
If the Client fails to attend the scheduled session and the services cannot reasonably be completed on the original date, the booking will generally be treated as a same-day cancellation.
9. Rescheduling
9.1 Rescheduling Arrangements
Rescheduling requires mutual agreement and is subject to the availability of personnel and other necessary resources.
9.2 Payment Arrangements
Payments already made will generally be transferred to the new date. Additional transportation, accommodation, venue, or third-party expenses arising from rescheduling will be charged separately upon the Client’s approval.
9.3 Cancellation After Rescheduling
If the Client requests rescheduling within 14 days of the original shooting date and the Studio agrees to retain the booking and move it to a new date, any subsequent cancellation will generally be assessed using both the original and rescheduled dates. The lower of the two applicable refund percentages will apply.
If rescheduling is confirmed 15 days or more before the original shooting date, any subsequent cancellation will be assessed according to the new shooting date.
10. Force Majeure and Service Interruptions
If services are affected by natural disasters, extreme weather, government restrictions, major transportation disruptions, or other circumstances beyond the reasonable control of either party, both parties shall first seek suitable alternative arrangements.
If the services cannot be completed, the Studio will settle the booking based on services already provided and reasonable, non-refundable expenses incurred, and refund any remaining applicable amount.
If equipment failure, sudden illness of personnel, or other operational circumstances affect the provision or delivery of services, the Studio will promptly inform the Client and provide reasonable remedies.
11. Personal Safety
11.1 Outdoor Risks
Outdoor photography in Iceland may involve slippery surfaces, concealed holes, loose rocks, uneven terrain, unexpected ocean waves, and other natural hazards. The Studio and its personnel will take reasonable safety precautions and provide appropriate warnings regarding significant risks that are known or reasonably foreseeable.
11.2 Client Safety Responsibilities
The Client must exercise reasonable care in accordance with their physical condition and the surrounding environment. Before walking, stepping backwards, turning, climbing, or changing position, the Client should observe the surroundings and ensure that the intended footing is safe.
Posing instructions and suggested movements from the photographer are intended as creative guidance. The Client should independently assess the safety of any movement under the actual conditions and may decline any action considered unsafe.
11.3 Liability for Accidents
Responsibility for natural hazards that could not reasonably have been anticipated or avoided despite appropriate safety precautions will be determined according to the actual circumstances.
The Studio shall bear responsibility for harm caused by unreasonable or unsafe instructions, failure to exercise reasonable care, or improper use of equipment by its personnel.
Where harm results from the Client entering hazardous areas without authorisation, disregarding clear safety warnings, or independently engaging in dangerous activities, responsibility shall be determined according to the respective fault of the parties.
11.4 Personal Travel Arrangements
The Client is responsible for arranging and managing their own transportation, accommodation, and other personal travel activities.
Activities requiring professional guides, specialised safety equipment, or permits must be arranged through appropriately qualified service providers.
12. Complaints and Dispute Resolution
The Client may submit complaints through the Studio’s designated contact channels. The Studio will respond within five business days.
Both parties shall first seek to resolve disputes through amicable discussions.
13. Privacy and Personal Data
The Studio processes personal data, including names, contact details, booking information, photographs, and videos, in accordance with applicable data protection laws.
Such information is used for booking administration, service provision, production, and delivery. Where necessary, relevant information may be shared with personnel and service providers involved in fulfilling the booking.
The Client has applicable rights to access, rectify, or request the deletion of personal data, as well as other rights provided by data protection law.
Public display and promotional use of photographs and videos shall be governed by Section 6. Further details regarding the processing of personal data are provided in the Studio’s separate Privacy Policy.
14. Application and Amendments
These Terms and Conditions apply to photography packages and related combined services provided by Iceland On Image.
Clients with special requirements concerning service arrangements or contractual terms may discuss them with the Studio before booking and agree to specific arrangements in writing. Any mutually confirmed special arrangements shall take precedence over the corresponding provisions of these Terms and Conditions for the relevant booking.
These Terms and Conditions shall be governed by and interpreted in accordance with Icelandic law. Nothing in these Terms and Conditions excludes or restricts mandatory consumer rights under applicable law. If any provision conflicts with mandatory legal requirements, the relevant legal requirements shall prevail, while the remaining provisions shall continue in effect.
The Studio may update these Terms and Conditions to reflect business or legal requirements. Confirmed bookings shall remain subject to the version accepted at the time of booking unless both parties agree otherwise in writing.
